Dealer Portal - Using the Queue

The Queue section of your dealer portal allows you to keep track of the applications you have in your pipeline. It can tell you what stage your application is at, if any further information or documents are required and allow you to make amendments to applications when necessary. e.g. customer wants to amend their loan amount or term.

Queue Statistics

When you select Queue from the left hand side of your Dealer Portal you are taken to the below screen. Queue statistics, gives you a summary of all the applications you have currently got with us that are not yet live agreements. Each status has a priority level. Green being Low and Red being High, Blue has no priority level attached to the status. You can look at all applications with that status by selecting View. The applications will then display in the list below.

Application Status Description
New Proposal This status is given as application is being keyed through the portal. If the submit button is not pressed then application will remain at this status. The application will remain at this status for 14 days,  if not submitted this will then change to NTU - Incomplete
Ready to underwrite This status is given once the submit button has been pressed on the portal - The application will be at this status for a split second as the application passes through the credit gateway (transient state)
Proposal accepted This status is given when an application has been accepted and the documents are issued. The application will remain at this status until the loan is made live. If contracts are not received then this will change to NTU - Expired 30 days later
Underwriter requested further information This status is given if underwriter requests further information.
Proposal Amendment This status is given when an application is being amended for any reason and then re-submitted
Refer to risk This status is given when underwriters need to review the application
Under review This status is given when underwriters need to review the application
Credit searching error This status is given when the gateway hasn’t been able to perform some checks for some reason
Proposal declined / Auto Declined This status is given when application has been declined
Proposal declined - End Queue / Auto Declined - End Queue This status is given when an application has previously been declined and has now been filed away to complete the process in the system
Not taken up  This status is given when application has been systematically or manually set to Not Taken Up for various reasons
Payout Commenced  This status is given when a manual contract has been received but verification checks are still to be completed
Ready to Auto go Live The holding status is given when documents have been received & verification checks are satisfied - loan will move to Live Agreement Primary Period overnight
Live agreement primary period This status is given when the loan is a live agreement

Using the queue

Searching your Queue

Underneath the Queue statistics is a small search box. You can use this to easily pinpoint a particular application without scrolling through screens of applications. The search box will pick up any application containing that word under any of the headers. It does not need to match exactly. If you know your customer is a Mrs Smith, type in Smith and it will bring up all applications that have Smith in the Applicant field.

Underneath the search box is your list of applications.

View/edit column

This column will say View, Edit or Locked.

  • Locked - means you are unable to view or make changes as someone is currently in the application, either a member of Zebra staff or a colleague of your own.
  • Edit - only available on applications that are at New Proposal stage. Allows us to go back into the application and make amendments. The application is then re-submitted by us.
  • View - here you can view the details you have entered when you submitted the application. This is view only and amendments cannot be made. If you need to make any amendments please contact Zebra. If at proposal amendment status Zebra will be in the process of making the amendments at our end. An example of what you can see is below.

View Notes column

By clicking Notes in this column you can see communications from the Underwriters here at Zebra. You can also add relevant notes to the application which Zebra will be able to see. Below is an example of how this will display. To add a note back to us select Add new. When you add a note to a proposal in this way, Zebra will not receive a notification that you have done so. Leave a separate message to make the Underwriters aware using the Messages function explained in Communicating through the portal guide.

View Documents column

View Documents

The View Documents column allows you to upload a document from your system into the portal for us to view instead of faxing, posting or e-mailing them through to us. Select Documents on the relevant application. The below screen will load.

Select Choose a file to upload... and this will bring up a screen to allow you to select the document you wish to upload from your computer. Once selected, this will upload and show on the application as below. Once uploaded, you will not be able to remove the document.

When you add a document to a proposal in this way, Zebra will not receive a notification that you have done so. Leave a separate message to make the Underwriters aware using the Messages function explained in Communicating through the portal guide.

View Checks column

The view checks section allows you to see exactly what is outstanding on the application. Select Checks from the relevant application row and you will be taken to the below screen. Here you can see the document that has been requested and for which applicant the documents are needed. You can then upload the documents using the Documents section when you receive them. When documents are requested you will also receive a notification by e-mail.
